The guidelines below outline the process for submitting an agenda item for a PSPB meeting.


Guidelines for agenda item submission

  1. PROPOSED AGENDA ITEMS, for the 16 February 2018 PSPB meeting, needed to be submitted electronically to Gordon MacPherson ( by by 2 January 2018, with a cover sheet that includes the following information. (Please note that when you click on the links below, you will be asked to download the MS Word documents to your hard drive; you may then fill them out in Word, save, and then attach to your return email.)

    1. MOTION/ACTION ITEMS require a variety of the information, which include the reason for its submission, the action proposed, pros, cons, financial implications, effective date, actions, plus any supporting documentation.

    2. INFORMATION ITEMS require documentation whenever possible.

    3. REPORTS should include a short summary of the item.
  2. The preliminary agenda will be posted on or about 12 January 2018. To ensure all agenda items are available for review prior to the meetings, it was requested that Gordon MacPherson receive all supporting documentation by 26 January 2018. Please refer to the Call for Agenda Items for additional information.

Motions/actions finalized after the issuance of the agenda

To facilitate accurate recording in the PSPB minutes of action items and/or specific motions, members are also requested to use the motion/action form. When possible, please submit the completed form to Gordon MacPherson ( from Publications Staff prior to the meeting. When making a motion during the meeting, G. MacPherson asks that you provide staff with an electronic copy of the motion/action form and to also include the information on the cover page of the item within an MS PowerPoint presentation to PSPB.

Guests will be invited to make presentations only with the advance approval of the Vice President - Publication Services and Products.

Audiovisual equipment

A data projector will be provided at each meeting. If you need additional audiovisual equipment for your presentation, please advise Gordon MacPherson ( by 1 February 2018.

Call for notice

To ensure all agendas items for the February 2018 IEEE Publication Services and Products Board meeting series are prepared and available for review, it is requested that Gordon MacPherson receive all supporting documentation by 26 January 2018. Please refer to the Call for Agenda Items for additional information.
